PREVENTATIVE AND CORRECTIVE MAINTENANCE OPERATIONS

The maintenance, grounds, and custodial staff utilize industry best-practices and professional development programs to provide learning environments that boost productivity for all stakeholders.  How? Through the implementation of efficient and effective preventative and corrective maintenance programs that reduce the cost of facility operations and provide reliability and continuous operations for all stakeholders.

1.  Automation of facility operations
Successful businesses relies on the implementation of systems and technology that automate regular activities. In the maintenance department Eduphoria has been programmed to automatically route Help tickets to the appropriate service technician to provide faster response times.  Team captains closer to the work provide the supervision and control over the workflow.

2.  Services and priorities align with the organizational goals
Maintenance activities and priorities have been aligned to support the goals of the board and Superintendent of Schools. In short maintenance remains flexible and adaptive to meet campus needs while still providing preventative and corrective maintenance and repairs. Day to day allocation of resources:


  • 35% on corrective or preventative maintenance strategies
  • 45% to auxiliary support and servicing of staff Help tickets
  • 15% to the coordination of code required inspections and testing
  • 5% on special projects and asset management
 
3.  Campus collaboration and team cooperation

Following best practices the use of vague descriptions and titles have been eliminated and replaced with specific job titles. Ownership develops confidence and promotes pride in ones self and their work. Introduction of maintenance team leaders has provided an environment that allows members an opportunity to develop leadership skillsets that promote collaboration and confidence.

4.  Implementation of Preventative maintenance (PM) strategies

PM strategies based on predictive analytics are proven to decrease system downtime, and increases system reliability and efficiency. Sealy ISD’s maintenance department employs the following strategies to maintain healthy facilities and promote uninterrupted operations:


  • Corrective-maintenance - simply meaning when equipment breaks or shows signs of malfunction it is taken off-line and repaired as soon as possible to restore normal services
  • Condition based maintenance – major equipment is inspected at regular intervals by service contractors for signs of wear and mechanical decline. Based on the condition of the equipment repairs are made to prevent equipment from going down or needing costly repairs
    • Chillers
    • Building automation systems
    • Hydronic closed loop chemical treatment levels
  • Time-based maintenance – Repairs or part replacement occurs at predetermined intervals. These also include code inspections to ensure readiness or compliance.
    • Elevator Inspection and Certification
    • Boiler tube inspection and permit
    • Gas inspection and pressure test
    • Fire Alarm Inspection
    • Life Safety Inspection
    • Fire Extinguisher Inspection
    • Fire Sprinkler Inspection

5.  Maintaining Equipment logs

Logs for equipment and building system have been created to record major repairs and warranty information. These records are essential and provide analytics for predictive maintenance,  and avoiding the interruption of operations due to future breakdown.

6.  Embracing the IoT (Internet of Things)
The internet is a powerful tool embraced by every industry. Plan libraries, equipment submittals, and other records are shared with maintenance staff using shared drives. These cloud based libraries are available to the maintenance teams proving extremely valuable in day to day operations.


7. Asset Management and Service Tickets
Sealy ISD continues to accomplish all goals using Eduphoria Help and customized google sheets to manage assets and track repairs. The department goal is to switch to a robust software program in the future that allows greater analytics and resource management.

8.  Budget prioritization
The Director prepares annual maintenance budgets at the start of each fiscal year. It is a simple process to use historical data, add all fixed preventative maintenance, and inspection cost to establish a baseline and determine how much of the deferred maintenance list can be addressed.  Through this planning strategy the department has been successful in keeping a balanced budget
